What your board should be doing right now

Every month of the PTO year, by role — the tasks, the deadlines that bite, and the things to start now so they're ready later. Assumes a July–June fiscal year; adjust if yours differs.

June: Close the year properly

June decides whether next year starts from strength or from zero: the fiscal year ends June 30 for most groups, and everything that isn't written down or handed over evaporates over summer. In June a PTO board should enforce the reimbursement deadline, close the books, hand over binders, accounts, and passwords in one sitting, and run a final meeting that celebrates the year and formally seats the new board.

President

  • Run the final general meeting

    Year in review with real numbers, thank-yous by name, formal seating of the new board. End on pride, not logistics.

  • Do the full handoff in one sitting

    Binder, passwords, keys, contacts, and stories — two hours together, not a box on a porch.

  • Exit-interview the leavers

    "What should we stop doing?" Departing officers give the most honest answers they've ever given.

Treasurer

  • Enforce the reimbursement cutoff

    The announced date holds. Anything after June 30 rolls into next year's budget — documented in the minutes, not absorbed silently.

  • Close the books at June 30

    Final reconciliation, categorized totals, review packet assembled for the July committee.

  • Walk the new treasurer through everything

    The ledger, the platform logins, the reporting format, the 990 due date — an afternoon that saves a semester.

Secretary

  • Finalize and archive everything

    June minutes, the year's archive, the roster, the binder index — findable by someone who wasn't in the room.

  • Update official records if officers changed

    State charity/corporation filings, the school office, the insurer — wherever officers are named.

Events & volunteers

  • Run end-of-year staff thanks

    A last treat cart or breakfast during the checkout days — staff end the year on the PTO's best note.

  • Inventory and label the storage closet

    What's in there, photographed and listed. September-you will otherwise re-buy all of it.

  • File final event debriefs

    Field day and spring event notes into the binder — the last deposits into institutional memory.

⏰ Deadlines that bite

  • Fiscal year end — June 30

    For most parent groups. Books close, reimbursement stragglers roll forward, and the review committee takes over in July.
