What a finished lost and found program looks like

Maplewood Elementary PTO is invented, but the shape is real: bins along the cafeteria wall, sorted weekly by volunteers with the office holding valuables, named items walked back to classrooms, a 14-day minimum hold, donation twice a year — before winter break and before the last day — and everything unclaimed going to the school's own community closet.

1. Where the lost and found is

  1. Maplewood Elementary's lost and found is in the cafeteria — the blue bins along the cafeteria wall, left of the stage.
  2. It is looked after by the front office, with Maplewood Elementary PTO volunteers doing the sorting. The bin is sorted every week: named items are walked back to classrooms, valuables are moved to the front office, and soiled items are removed.

2. Items with a name on them

  1. An item with a legible name and a room number or teacher is returned directly to that student's classroom at the next sort, without waiting for anyone to claim it.
  2. An item with a first name only is kept in the lost and found and marked as named. A family asking about it will be asked for the name written on it before it is handed over.

3. Label everything

  1. Families are asked to label everything that comes to school with the student's name and teacher or room number: inside jackets and hoodies, on the bottom of water bottles and lunch bags, inside hats and gloves.
  2. A labeled item comes home the same week. An unlabeled item waits in the bin for someone to recognise it, and most are never claimed.

4. How long items are kept

  1. Every item stays in the lost and found for at least 14 days before it can be donated.
  2. Unclaimed items are donated twice a year — before winter break and before the last day of school.
  3. An item found within 14 days of a donation date is held until the following one.
  4. The next donation date is December 18.

5. Valuables

  1. Glasses, keys, phones, earbuds, wallets, ID cards, cash, jewelry and retainers are never placed in the open bin. They are kept at the front office. To claim one, the owner describes it — the colour, the case, what is inside — before it is handed over.
  2. Medication found anywhere in the building goes to the nurse, not the lost and found.

6. How to check and claim

  1. Students may check the lost and found during the school day with a teacher's permission. Parents and guardians can check at dismissal or by arrangement with the front office.
  2. Items are handed over at the lost and found or at the front office. There is nothing to sign and no charge; a valuable is described first, as above.
  3. Questions go to the front office, 973-555-0140.

7. Unclaimed items

  1. After each donation date, unclaimed clothing and belongings go to the Maplewood Community Closet, where they are washed and offered free to students who need them.
  2. Soiled clothing and food containers are discarded during sorting for hygiene.
  3. Families are reminded in the school newsletter at least two weeks before each donation date, and again in the final week.

8. Responsibility

  1. Maplewood Elementary and Maplewood Elementary PTO are not responsible for personal items that are lost, damaged or stolen. Please keep valuables at home wherever possible.
  2. This policy is published by Maplewood Elementary PTO and reviewed each year when the donation dates are set.

Please take a minute this week to check whether any of it belongs to your student. Students can check with a teacher's permission; parents can check at dismissal or ask at the front office.

Anything still unclaimed on December 18 will go to the Maplewood Community Closet. Every item has been held at least 14 days, and anything found in the final two weeks will be held until the next donation date.

Glasses, keys, phones, earbuds and wallets are kept at the front office rather than in the bin — ask there if your student has lost one.

One ask: please label everything with your student's name and room number. Labeled items go straight back to the classroom.

End-of-year last call · Two weeks before the last day of school

Subject: Last chance: lost and found items go to the Maplewood Community Closet on December 18

Dear Maplewood Elementary families,

This is the last call for the lost and found before summer. Everything in the cafeteria — the blue bins along the cafeteria wall, left of the stage that is still unclaimed on December 18 will go to the Maplewood Community Closet. Students can check with a teacher's permission; parents can check at dismissal or ask at the front office.

If your student has lost something valuable — glasses, keys, a phone, earbuds, a wallet — please ask at the front office before the last day; those are held separately and are not donated with the clothing.

For next year: a name and room number inside every jacket and on every water bottle is the single thing that gets lost items home. Label everything before September.

The sort-day checklist

Before sort day

  • □ Pick the date with the front office and recruit two or three people. Sorting a full bin alone takes a morning; with three it takes forty minutes.
  • □ Confirm building access — which door, what time, who signs you in.
  • □ Bring: the printed bin labels, tape, a marker, trash bags, disposable gloves, a phone for photos, and a printout of this list.
  • □ Ask the office for a list of teachers and room numbers so named items can be sorted by classroom.

On sort day

  • □ Pull every item with a legible name and room or teacher into a "back to class" pile, grouped by teacher. This pile is the whole point.
  • □ Pull anything valuable — glasses, keys, phones, earbuds, wallets, jewelry, retainers — and hand it to the front office. It never goes back in the bin.
  • □ Bag anything soiled or with old food for the trash. Hygiene is a reason families stop looking.
  • □ Sort the rest into the labeled bins. Sixteen identical water bottles go in one bin; do not try to tell them apart.
  • □ Photograph each bin or shelf. Even if you have nowhere to post them yet, the photos are what the reminder email needs.
  • □ Count what is left by category and write the number down. The count is what goes in the newsletter.

After sort day

  • □ Walk the "back to class" pile to the classrooms the same day, or leave it with the office grouped by teacher.
  • □ Send the reminder — the mid-year or end-of-year email from this kit — with the photos and the donation date.
  • □ Put the next donation date on the calendar and in the standing newsletter blurb.
  • □ Thank the volunteers by name in the Maplewood Elementary PTO update. Sort day is the least glamorous job in the building.

On donation day

  • □ Do one last sweep for names and valuables. Something always turns up.
  • □ Bag by category and count the bags. Photograph the pile — it is the "before" picture for the newsletter.
  • □ Deliver to the Maplewood Community Closet and ask for a receipt or a note for Maplewood Elementary PTO's records.
  • □ Report the numbers: how many items were logged, how many went home, how many went to the Maplewood Community Closet. "131 items went home and 68 coats stayed in Maplewood Elementary" is the argument for doing this again next year.
  • □ Want a last-chance event that families actually show up for? A lost-and-found fashion show at an assembly — staff modelling the unclaimed hoodies — has emptied more bins than any email.
