What should a PTO board do in April?

April: elections and the last push — part of the PTO year, month by month.

April is when the next board becomes real: elections happen (with quorum!), Teacher Appreciation Week enters final prep, and the spring fundraiser closes out. In April a PTO board should run a clean election per the bylaws, start transition planning immediately instead of waiting for June, reconcile the spring fundraiser, and release the TAW budget to room parents with clear reimbursement rules.

These checklists assume the most common setup — a July 1 – June 30 fiscal year and federal 501(c)(3) status. If your group runs a different year, shift the compliance dates to match.

President — April

  • Run the election by the book. Quorum confirmed, notice satisfied, votes counted and recorded. Ten careful minutes prevents a contested year.
  • Start the transition now. Winners join April–June meetings as observers, handoff meetings get calendared, binders get assigned. June transitions fail; April ones work.
  • Celebrate outgoing board members. Recognition at the meeting, a note, flowers — people who leave feeling valued come back as volunteers.

Treasurer — April

  • Reconcile the spring fundraiser. Platform fees netted out, real total reported to members within two weeks of closing.
  • Release the TAW budget with rules. Per-room amounts, what's reimbursable, receipt deadline — in writing to room parents before they spend.
  • Recruit the year-end review committee. Two or three members who aren't signers or their relatives, lined up now to review the books in July.

Secretary — April

  • Record the election precisely. Motions, counts, who's elected to what — these exact minutes are what the bank asks for when signers change.
  • Draft the signer-change resolution. A board resolution naming the new signers, ready to execute July 1. The bank will want this language.

Events & volunteers — April

  • Finalize TAW logistics. Meal calendar locked, allergies checked against the favorites collection, volunteers confirmed per day.
  • Plan field day. Equipment reserved, water plan, shade plan, volunteer shifts — the school supplies the kids.

Deadlines in April

  • Election meeting (bylaws). Held on the noticed date with quorum — check your bylaws' quorum number before the meeting, not during.

Start in April, needed later

  • Handoff binders assigned. Every officer and chair updates theirs in May while memory is fresh — not June 30.
