Google Workspace for your PTO: the version that actually gets verified

Free nonprofit email and Drive for your group — and how to get through verification without the months-long limbo other boards report.

The short answer: a 501(c)(3) PTO qualifies for Google for Nonprofits, which includes a free Google Workspace tier — custom-domain email, shared Drive, shared Calendar. Register at google.com/nonprofits; verification runs through Google's partner Goodstack. Gather your EIN letter, IRS determination letter, bylaws, and minutes showing your election before you apply, and if verification stalls more than two weeks, send the appeal email below instead of waiting. That one habit — documents first, proactive follow-up — is the difference between days and months.

Why this is worth an evening of setup

Every PTO eventually loses something to a personal account: the Drive folder owned by a president who moved away, the Gmail login nobody wrote down, the newsletter platform registered to a treasurer three boards ago. Google Workspace on the group's own domain fixes the whole category:

  • Role-based email that transfers. president@yourpto.org outlives every president. The inbox, the vendor threads, the password resets — the next board inherits all of it.
  • A shared Drive that is the digital binder. Minutes, budgets, event debriefs, logos — owned by the organization, not whoever uploaded them.
  • One place to register everything else. Every platform account (payment tools, Canva, the website) gets created with a role address, so handoff becomes changing passwords, not archaeology.

Step 1 — assemble the folder first

Verification asks for documents mid-process, and every "we'll find that later" adds a week. One folder, four things:

  • EIN assignment letter — the CP 575 you got when the EIN was issued, or a 147C replacement (lost yours? here's the one-call fix).
  • IRS 501(c)(3) determination letter — or, if you're chartered under a parent group (a state PTA, typically), the parent's group-exemption letter plus something showing your unit is included (charter certificate or the parent's unit roster).
  • Bylaws or charter — current version.
  • Minutes showing your election — the page naming current officers. This is your affiliation proof; a bank letter or school letterhead listing officers also works.

Keep this folder forever — Walmart Spark Good, Amazon, Deed, and every other nonprofit program asks for the same four things.

Step 2 — apply

  • Go to google.com/nonprofits and request an account for your organization. Use a role or personal address you check daily — the follow-ups come by email and expire quietly.
  • Identity verification is handled by Goodstack (Google's nonprofit-verification partner, formerly Percent). It checks your organization against IRS records and asks you to prove you're authorized to act for it.
  • Once approved, activate the Google Workspace for Nonprofits tier (the free one — you don't need the paid upgrades) and connect your domain. If you don't own a domain yet, buy one first; it's ~$12/year and it's also your website and email identity.

The umbrella-EIN gotcha

This is the wall boards hit for months: if your group is covered by a parent organization's group exemption — most commonly a PTA unit under the state PTA — your EIN may not appear as its own 501(c)(3) listing in the IRS database Goodstack checks. The automated check fails, and no amount of waiting fixes it.

The fix is documentation, not patience: send the group-exemption letter and proof your unit is included under it (your charter, or a letter from the parent organization). If your PTO is independent and the check still fails, verify your EIN's exact legal name and status in the IRS Tax Exempt Organization Search — a name mismatch ("Lincoln Elementary PTO" vs. "Lincoln PTO Inc") is usually the culprit, and a 147C letter states the name of record.

Step 3 — the appeal email that unsticks it

If you've been "in review" for more than two weeks, stop waiting. Email Goodstack support (and reply to any verification thread you have) with everything attached up front:

Subject: Verification assistance — [Your PTO's legal name], EIN [XX-XXXXXXX] Hello — I'm the [role] of [legal name], a parent-teacher organization at [school], and I'm writing to help complete our Google for Nonprofits verification, which has been pending since [date]. Attached to this email: • IRS EIN assignment letter (EIN [XX-XXXXXXX]) • IRS 501(c)(3) determination letter [or: group-exemption letter from [parent org], with our charter showing inclusion] • Current bylaws • Board minutes from [date] showing my election as [role] Note: our legal name of record with the IRS is "[exact name]" — please match against that spelling. Step 4 — set it up so it survives every board

  • Create role addresses, not people addresses: president@, treasurer@, secretary@, hello@. People come and go; the addresses stay.
  • Make the super-admin account organizational — admin@yourpto.org — with recovery phone/email documented in the handoff binder, not on someone's personal phone. Losing the only admin account means starting over.
  • Move the files in. Drag the Drive folders out of personal accounts now, while the people who own them are still around and friendly.
  • Write the account list down: every service, which role address owns it, where the password lives. That list is half of a handoff binder already.

Is Google Workspace actually free for PTOs?

Yes — the Google Workspace for Nonprofits tier is free for verified 501(c)(3) organizations. You pay only for your domain (~$12/year). Paid tiers exist but a PTO doesn't need them.

How long does verification take?

Days, when the documents are clean and submitted up front. The multi-month stories almost always involve an umbrella EIN, a name mismatch, or waiting silently instead of sending documentation.

We're not a 501(c)(3) yet — can we still get it?

No — nonprofit status is the qualification. If you're informal or school-fund-based, that's a bigger decision than email, and worth solving first.
