The best payment platform for your PTO

Zeffy vs. Cheddar Up vs. Givebacks vs. Square, decided by what your group actually does — with real current fees and no affiliate agenda. Fees verified August 2026.

The short answer: there's no single winner — there's a right fit. Keep every penny, mostly dues and donations → Zeffy (truly free). Event tickets with caps + a spirit store → Cheddar Up. One all-in-one with a parent app → Givebacks or Membership Toolkit. Concessions card reader → Square. The treasurer's books → MoneyMinder (a companion, not a collector). Start with the one rule that overrides everything

Never route group money through a personal Venmo, Zelle, or PayPal. It violates the apps' own terms, it can land a 1099-K tax form on the volunteer personally, the account can be frozen mid-fundraiser, and it walks out the door when that person's kid graduates. Whatever platform you pick, the account goes in the group's name under its EIN — and check your district's policy first, because some require the school's account or ban payment apps entirely. The trick to reading the fees: there are three kinds of "free"

This is what makes the Facebook threads so confusing — "it's free!" means three different things:

  • Free and they absorb processing. You keep 100%; an optional donor tip funds the platform. Zeffy. The best deal that exists, if you have an EIN.
  • No platform fee, but the donor covers the card fee via a tip. Great for pledge fundraisers; just disclose it. 99Pledges, Givebutter, fundraiser modes.
  • Free tier, processing passed to the payer (or paid by you). Cheddar Up's free plan charges about 3.95% + $0.95 per card — fine if the payer absorbs it, pricey if you do.

The dollar that actually reaches your group differs enormously between these. Always ask "who pays the processing fee?" before "is it free?"

The contenders, honestly

  • Zeffy — the true-$0 option. Donations, dues, tickets, a store, even free tap-to-pay, at zero cost to you. Catch: the checkout tip prompt confuses some parents (brief them), and you need an EIN.
  • Cheddar Up — the group-collections workhorse. The friendliest for dues + events, with real inventory caps and waitlists, and a free branded page that doubles as a website. Catch: higher free-tier card rate, and you can't edit a submitted order — you recreate it.
  • Givebacks — the all-in-one, National PTA partner. Membership, store, donations, ticketing, and a parent app in one place, with strong POS; free to units in partner states, otherwise ~$499–599/yr. Catch: mixed support reviews and real lock-in. (It's the former MemberHub — unrelated to Membership Toolkit.)
  • Membership Toolkit — the website-forward suite. A real website + directory + calendar + payments and even accounting, ~$550–1,150/yr. Catch: the most to learn, weak in-person POS, and processor lock-in.
  • Square — the concessions champion. The most reliable card reader for game-day and the welcome table, and it works where districts block nonprofit-only apps. Catch: no nonprofit discount and no dues/event logic — it's the POS layer, not the whole system.
  • MoneyMinder — the books, not the money. Real treasurer accounting (reconciliation, 990 e-file, clean handoff) for ~$299/yr. It doesn't collect payments — pair it with any of the above.

Match it to your job

  • Mostly dues + donations, keep every penny → Zeffy.
  • Ticketed events that must cap + a spirit store → Cheddar Up (go paid for the better card rate if you can't pass fees to payers).
  • One system for membership + store + comms + app → Givebacks (especially free via your state PTA), or Membership Toolkit if you want a real website and accounting built in.
  • Concessions / bake sale / game-day table → Square for the reader.
  • Books balanced and handoff clean → MoneyMinder alongside whichever collector you chose.

A word on "referral" culture

Parent groups pass around referral codes for these platforms, and several do run referral programs. That's fine between schools — but be skeptical of any ranking that happens to put the recommender's own product at the top.
